Managing Bookings
How to handle booking requests, appointments, and multi-session projects.
Booking requests
When a client submits a booking request you’ll see it in Requests in your dashboard.
- Approve — They’ll get a link to pay the deposit (if you use one) and then to pick an appointment time.
- Decline — Optionally add a note (e.g. “Books are closed until March”).
- Request changes — Reply via Messages to ask for more details or different dates.
After approval, the client pays the deposit (if required) and chooses a time from your available slots. The booking then appears under Appointments.
Appointments
From Appointments you can:
- Open an appointment to see client details, session info, and reference images.
- Mark complete — Enter actual duration, amount charged, and payment method. You’ll then see options to add the work to your portfolio or schedule the next session.
- Mark no-show — Use if the client didn’t show up.
- Cancel — Cancel with an optional note; the client is notified.
Multi-session projects
For pieces that need multiple sessions:
- When completing a session, use Schedule next session to offer the next slot from the same booking.
- You can create a Project and link it to the booking to track progress (e.g. “Session 2 of 5 completed”).
Walk-in bookings
If someone books in person, use Add booking (walk-in) from your dashboard. Enter their name and contact; if they don’t have an account they’ll get an invite to create one. The booking is created as scheduled (no request/approval step).
